The board of The Quilting Guild of The Villages met
December 21, 2010. The
meeting was called to order by Vice President Micki MacCumbee at 3pm.
The secretary’s report for the November 16, 2010
board meeting was read and approved with one change.
The quilt retreat is at Lake Yale, not Lake Wales. A motion was
made by Tonia Brock and seconded by Marilyn Crosby to approve the
minutes.
There was no Treasurer’s Report at this
meeting.
The Vice President’s report was given by
Micki MacCumbee. The
program committee will meet next week.
The first newsletter from the program committee was emailed to
program committee members and chapter presidents.
A survey will be conducted through the program committee members
of each chapter to determine what time most members would like the
monthly guild meeting held. Members
will be asked if they prefer an afternoon (3pm), evening (7pm) or no
meeting. The results of the
survey are due at the next board meeting.
Joy Lynch reported the prior survey results of 12/6/09 indicated
105 afternoon, 96 evening and 11 morning.
Quilt Show Report was given by Kathy Howe.
All is going well. There are five shadows working with the committee.
Linda Thomas, Carole Schroeder, Cheryle Hahnfeldt, Linda
Konstanty and Ann Moros. Carol
Schroeder and Ann Moros
have agreed to be co-chairs for the 2013 quilt show. Bulletins announcing the show will be posted at mail
stations.
Kathy reminded the board of the due dates for
quilts. Quilts to be judged
are due at Laurel Manor on
January 13th. All
judged quilts should be picked up on January 14th from 4-6pm
and you must have the receipt given you to get your quilt back.
January 4th the challenge quilts are due.
January 27th the quilts are due for the show and can
be picked up January 29th. The entry form states how the
quilt should be bagged and identified.
Old Business:
Discussion on national teachers was tabled until the January
meeting. Discussion on the
number of meetings per year was also tabled.
Micki MacCumbee and Tonia Brock were thanked for
their efforts in connection with the guild’s participation in the
Christmas Parade.
New Business:
The new board members Micki MacCumbee and Joyce McKee were
welcomed.
Jackie Whitehead is Membership Chairman.
Each chapter should bring a list of their current members to the
next board meeting.
Suggestions were made regarding assigning hosting
duties for the monthly guild meeting.
It was suggested the hosting duties be set in October for the
following year and that the names of chapters be put in a basket and
drawn randomly for the assignments.
Joy Lynch made a motion to accept these suggestions and Lucie
Verbois seconded and it was passed unanimously.
Mulberry volunteered to host the January meeting
and Alamanda will have June responsibilities.
Responsibilities for hosting the speaker was also
discussed. The program
committee will discuss this with further with the program members and
use input and suggestions made at this meeting.
Suggestions included having class members host, having two
program members host and conducting the class the day after the monthly
meeting.
Micki noted that classes will be open to outside
the guild due to low participation by our members.
Scholarships/grants were discussed and there is still money for
these until the end of the fiscal year which ends in March. They are not in the budget for the 2011 fiscal year.

The Board Meeting for the Guilting Guild of The Villages met November
16,2010. Meeting called to order by President Jeanette
Flint at 3 pm.
Secretary's minutes for October 19 Board Meeting were read and approved.
Treasurer Beth Bender gave a complete report including the check book
balance.
Vice President Carolyn Heald talked about the January 4, 2011 class
"Adventures With Circles" by Leigh McDonald; and showed a
sample quilt. Those interested must enroll ASAP, the class is just
five weeks away, cost is $25.
Quilt Show co-chair Cathy Howe requested more money be put in the Show
account. Treasurer Bender said to just give her the bills to pay.
Cathy reported she has five "shadows" who are
possible Show Co-chairs for 2013. She also reported they have 227
quilts for judging.
Old Business: Joy Lynch stated space is available for afternoon
meetings for the Guild. There was discussion of changing The Guild
meetings and of how to get information out about our future classes.
Both topics tabled until next Board Meeting on January 18, 2011.
Christmas party on December 7 was discussed. We will not have
member sign in or 50/50. Christmas parade will be December 11.
Call Tonia Brock at 750-5515 or Micki Macumbee at 352-350-6853 for your
group to participate. Good Guild participation will help promote
our January Quilt Show.
Vice President Heald spoke about the quilt retreat next October 12-16,
2011 at Lake Wales. Cost is $140 per person for room and meals.
It would be a fun and relaxing way for us to get better acquainted.
Each person brings their project to work on.

Board Meeting (October 19) Minutes
The
Board Meting of The Quilting Guild of The Villages met October 19, 2010.
Meeting called to order by Vice President Carolyn Heald at 3 pm.
Secretary's minutes of September 21 Board Meeting were read and approved
with the following correction. Mary Shara's class on Machine
Applique Part Two to be on November 2 at the United Methodist Church had
been omitted.
Treasurer Beth Bender gave the treasurers report. She asked if she
could do a month-end report only. It was agreed by general
concensus that it would be OK. Report approved.
Vice President Carolyn Heald discussed a quilters retreat at Lake Wales
for October 12-16, 2011. She would like to see more representation
from each chapter in 2011. If interested give her a call at
751-0840.
The following classes will be held at the Oxford United Methodist
Church: November 2 - Machine Applique Part two By Mary Shara;
December 7 - SnipIt Christmas Tree by Dale Angione; January - nothing
scheduled; February 8, 15, 22 - Mystery Quilt by Doreen Hunter; March 1
- Beginning Needle Turn Applique by Jacki Whitehead; March 15, 22, 29
and April 5 - Beth Bender will repeat the Beginning Quilting class.
Guild Meetings - November 2 - Material Girl; December 7 - Christmas
Party; January 4, 2011 - Leigh McDonald to do Adventures with Circles;
February 1 - Quilt Show Winners; March 1 - Garage Sale. Remember,
Nancy Chong will do a class and lecture for us November 16. That
is two weeks after our regular Guild Meeting, the lecture will be at 7
pm at LaHacienda Rec Center.
Mary Shara has received a donation of a large quilt frame. She
would like to put it in the Quilt Show Silent Auction booth with all
proceeds going to the Quilt Guild.
Quilt Show Co-Chair Kathy Howe stated they have received 200 entry forms
and will continue to take them until the November 2 Guild Meeting.
Lucy Verbois mentioned she would like the Nominating Committee to
follow the rules in the By-Laws regarding nominations. In future ALL
members interested in becoming a candidate for office should be
presented by the Nominating Committee.
Most Chapter Presidents gave V.P. Heald their count for the Christmas
Party. If you did not, please call her very soon. President Flint
needs a count from Chapters of members who will receive a ten-year pin.
Joy Lynch had a question on the 2009 Guild Survey. Specifically
changing from an evening Guild meeting to a day Guild meeting. She
volunteered to talk with John Rohan about space availability for a day
meeting. She also would like to see more money going back to the
Chapters. There was discussion. Joy moved we reduce dues to
$1 a year. Lucy Verbois seconded. Motion Carried.

Board Meeting (Sep 7)
The Quilting Guild of The Villages called a special Board Meeting on September 7, 2010 at 6:30 pm to select the Chair of the Nominating Committee. Judy Porter volunteered to be Chairman.
The Regular Board Meeting of The Quilting Guild of The Villages met September 21, 2010. Meeting called to order at 3 pm by President Jeanette Flint.
Secretary's minutes of May 18 were read and approved.
Treasure, Beth Bender gave a complete report and gave every chapter a budget report for April 2009 to March 2011. There are 634 paid members to date.
Vice President, Carolyn Heald, reported on programs and classes. October 5 class at the Church will be Fantastic Fans by Jackie Whitehead. The Guild meeting in the evening will be Demo Night. November 2 Guild Meeting will be MaterialGirl Shop. On November 16 a special Guild Meeting at LaHacienda Center at 7 pm will be a program by Nancy Chong. At 9 am (Nov 16) Nancy will teach an applique class at the Church. Her class fee is $25 per person. Two people from each chapter may go to this class. December 7, Dale Angione will teach a class on SnipIt Christmas Tree. The Guild Meeting in the evening at 7 pm will be our Christmas Party. David Taylor has been signed for April 2011 and Karen Buckley is being signed for 2012.
Quilt Show Co-Chair Carol Reed announced the hand quilted quilt is finished. There was discussion of getting Show flyers to area quilt shops and to quilt related publications.
Dale Angione presented her ideas on Quilt Show Program book. She showed samples and discussed estimates from three print shops. Jackie Whitehead moved we do a quality Show Book, letting Dale Angione and two other people decide on format and printing. Joy Lynch ammended motion to include "allowing a budget of up to $2,400". Tonya Brock seconded. Motion carried.
President Flint presented her suggestions for the Christmas Party Committees. Please bring the count from your chapter to October 19 Board Meeting. Memers are asked to bring finger foods for eight to the party.

Judy Porter, Chair of the Nominating Committee announced we have Mickey McCombe as candidate for Vice President; and we have Joyce McKey as candidate for Secretary with Dale Angione as a summer substitute secretary.
President Flint stated we need a new meeting room to start another Chapter. She has talked with Recreation Director, Pam Henry about this matter. She introduced the new President of Seabreeze - Alice Nicholas. We discussed The Quilt Trolley coming to a Guild Meeting. Joy Lynch moved we have no un-invited vendors at our Guild or Chapter meetings. Jacki Whitehead seconded. Motion carried.

V. P. Heald announced the Program Committee will meet Tuesday (Sep 28) at 1 pm at Laurel Manor.
Carol Reed announced that she and Kathy Howe (Quilt Show Co-Chairs) are requesting no honorarium after the Show.

The
Executive Board of The Quilting Guild of The Villages met May 18, 2010.
President Flint called the meeting to order at 3 pm.
Secretary's minutes of April 20,2010 were read and approved with a minor
correction.
President Flint summarized the Treasurers report in the absence of Beth
Bender and reported we have 610 members.
Vice President Carolynn Heald reported on her meeting with Program
Committee. She said they will do only four demos this year in
October. She has sent a contract to David Taylor for 2011 meeting
and class on Pointless Applique. Our September 7 2010 meeting will
be a trunk show by Joyce Brace. The June picnic was discussed and
it was decided to cancel it.
There was discussion of the motion made on April 20, 2010 regarding
closing classes of less than ten participants. Since some classes
have more than ten, the Board members felt the difference in money would
be made up. Board members felt cancelling or not cancelling
should be at the discretion of the teacher. This was unanimously
agreed on by a quorum of Board Members.
Doreen Hunter of The Quilt Show committee reported things still continue
to run smoothly. The Quilt Show budget was presented, discussed,
and agreed on. Lucie Verbois moved we accept the budget as
changed. Jo DeCandia seconded. Passed.
Old Business: President Flint proposed two changes on Standing
Rules. Under Program Committee, number 5: Hostess does not
have to pay for class; may take the class if time allows. Under
Teaching: Our members will be allowed to teach in their own
chapter and other chapters as well as in a pre designated location.
Lucie Verbois moved we accept the changes as presented. Betty
Heninger seconded. Motion passed.
President Flint asked if anyone had changes in mind for the
Workshop/Lecture Contract. She recommended in the fourth
paragraph, we state The Guild requires a color facsimile of the
project to be taught.
New Business: President Flint recently talked with the pastor of
Oxford United Methodist Church. When classes are finished he would
like the tables returned to their exact location on the floor as per the
tape locations on the floor. Chairs returned under the tables.
Marilyn Crosby thanked us on behalf of her husband for the gift
certificates we sent him.
Joy Lynch announced she has tubes for raising table height. She
also has caps for those tubes to protect the floor from scratches.
If any chapters would like leg extensions or caps, contact her ASAP.
A Guild wide Shop Hop was discussed for this summer. More
information will be emailed and/or available through chapter presidents.
President Flint reminded us there will be no meetings (Guild or Board)
in June, July, or August.

March 16 Board Minutes
Executive
Board Meeting for The Quilting Guild of The Villages met March 16, 2010.
Meeting called to orer by President Jeanette Flint at 3 pm.
Secretary's Minutes for February 16 Executive Boad and February 23 Special
Executive Board Meetings were read and approved.
Treasurer Beth Bender gave a complete report. We now have
579 paid members.
Vice President Christi Aerni talked about the new packets for Classes at
United Methodist Church. Packets containing ticket/receipts,
description of class and supply lists were given to all chapter
presidents. First class is April 6, given by Doreen Hunter.
Second class on May 4 will be given by Mary Shara on machine applique.
Per V.P. Aerni, money left after paying teacher and church will go into
the Program Committee budget. She wants all potential teachers to
prepare a colored sample picture and supply list of the class they will
teach. The June class will be a four week class on aspects of
beginning quilting taught by Beth Bender.
Vice President Aerni announced the upcoming Guild meetings as follows:
April 6, Diane McClure will do a trunk show/lecture; May 4, Linda Cantrell
will do a lecture. Program Committee is working on getting Nancy
Chong for November 2 Guild Meeting and class.
Penney Shabel Moved we use church classroom instead of going through the
Life Long Learning College for national teachers. Karen Leonard
seconded. Motion passed.
Quilt Show Report. Kathy Howe reported things were going well for
the Show. She still needs a person to "shadow" her.
Committee is receiving nice items for silent auction. The Boutique
List was distributed to all chapters recently.
Beth Bender gave packets of Raffle Tickets to all chapter Presidents
today.
Old Business. President Flint clarified room usage with John
Rohan. Rohan said The Villages has no problem with programs at
night if they are scheduled in our regular meeting room. He also
stated we are allowed to swap rooms four times a year, except November and
December.
Lucy Verbois moved we add to our Standing Rules that teachers can be paid
if we have them in our regular meeting room and it is in our By-Laws
and they have signed our contract. Seconded. Motion Passed.
Teachers living within a 50-mile raduis of The Villages can be brought in
and paid if someone gets them a temporary guest pass.
New Business. Beth Bender, Treasurer, stated when members change
from one chapter to another, they do not have to pay dues again in the
same year. Beth reported our accounting service said there should be
no problem giving grant money to new chapters. Paula Mooney moved we
give new chapters the grant money in their beginning. Lucy Verbois
seconded. Motion passed.
President Flint would like a membership list from each chapter as soon as
possible. She asked if members would like the Christmas Party to be
"finger foods" again or another format such as a catered meal.
Please discuss and bring ideas to next Board Meeting, April 20.

Special Board Meeting
A special Executive Board Meeting was called by President Flint for February
23, at 1 pm. Executive Board met in conjunction with Program Committee to address new Speaker/Workshop guidelines issued by The Villages. Vice President Aerni and President Flint have looked at meeting sites out of The Villages. The Oxford United Methodist Church at CR301 and CR466 has a room we could use for classes. It is available Tuesdays, seats 30 people, cost is $50 per six-hour day.
Joy Lynch made a motion we leave the nationally known speakers as scheduled through the Lifelong Learning College. Seconded by Eileen Kelly. Motion carried.
Joy Lynch recommended The Guild pay for shuttle services for the speakers flying into and out of Orlando Airport.
VP Christi Aerni recommended the Program Committee get a sample of all subjects to be taught and list of spplies for members to preview before registration.
Bev Jahn moved we try using the church meeting room for six months to see how it works. Joy Lynch seconded. Motion carried.
After discussion of how to fill classes, Joe Comer moved we do class registration on a "first come, first served" basis. If classes don't fill, go to a "three people per chapter" basis. Doreen Hunter seconded. Motion carried.
Vice President Aerni is looking for some teachers to do classes.

The Executive Board of The Quilting Guild of The Villages met
February 16, 2010
Meeting called to order by President Jeanette Flint at 3 pm.
New Business was first, to accommodate Pam Henry of The Villages Recreation District. She explained the new rules and regulations regarding payint for speakers. The rules and lengthy and complicated, contact Ms. Henry for information.
Secreatry's minutes were not read, they are on the web site.
Treasurer Beth Bender gave a complete report. We now have 552 members.
President Flint met with The Villages Seabreeze Rec. Center about getting another meeting room to start another quild chapter. It is pending. Joy Lynch mentioned we needed another evening chapter.
Vice President Christi Aerni had no report.
President Flint mentioned Nancy Chong will be in Tampa in Mid-November. Do we want to try to get her to speak in our guild? No decision was made.
President Flint mentioned an error in January minutes. Another motion was made stating the hostess gets her class fee paid by Guild. Seconded by Marilyn Crosby, and carried.
Quilt Show Chair Kathy Howe stated we need to vote on charities to receive monies from Quilt Show auction. This will be voted on by Guild members at a Guild meeting.
President Flint stated the question of serving refreshments at monthly Guild meetings will be decided at a Guild meeting.
Lucy Verbois moved we amend the motion made in January regarding having no meetings in July and August; TO, have no meetings June and July. Seconded. Did not pass. There was discussion of having Brenda Grampsass do a trunk show one of those months. Tabled until we get more information.
President Flint needs two people to do an audit of Treasurer's records. Marilyn Crosby moved we hire a CPA to do it. Nancy Myers seconded. Carried.
Discussion of people who attend meetings without paying dues and/or going to more than one chapter. Joy Lynch moved we add to Standing Rules that people can be a member of only one chapter and go to one meeting/chapter. Jo DeCandia seconded. Motion carried.

2010.
Meeting called to order by President Jeanette Flint at 3 pm.
Each Board member introduced themselves.
There were no Secretaries minutes read.
Treasurer Beth Bender gave a complete report. Tonia Brock moved we
accept the report, motion seconded and passed.
Vice President Christi Aerni had a variety of questions for the Board.
Would we like a fashion show at a future Guild meeting? Board voted
NO. Should we pay our hostess who works with speakers a fee for
lunch, etc? Board voted YES. How can we get more people to
attend speaker classes? Credit Card for V.P. expenses was mentioned
again. Treasurer Bender has a card she uses for Guild Business and
will continue to do so.
A motion was made by Jacki Whitehead to have no scheduled Guild meetings
in July and August. Bev Jahn seconded, motion passed.
Quilt Show Report.
Co-chair Kathy Howe gave each chapter a list of Show categories.
She announced members could enter two quilts and one Challenge Quilt in
the Show. The committee needs to have two people shadow the
Co-chairs the rest of the year to learn about the Show. She stated a
permit is needed to print tickets. They are getting bids on tickets
now. Sewing machines will be allowed in vendor booths for display
only.
Old Business. Member Survey results were discussed led by President
Flint. Item 5, a majority wanted an afternoon Guild meeting.
That will not happen for over a year because the speaker contracts are
already signed for evening meetings.
New Business. President Flint announced chapters could now apply for
2010 Education Grants in the amount of $250. She asked if Board
wanted to renew the Sunshine State Quilters Association membership of $22
annually. Board members approved. There are a few seats on the
February 19 trip to Sewing Expo in Tampa. Call Laura Tomich at
352-259-1200. Also, call her (Laura) if interested in the Suwanee
Quilt & Craft Show bus trip to Trenton FL on March 13. A person
is needed to see that our announcement of upcoming Guild meetings gets
into the newspaper. Joann's Fabric will once again give a 10%
discount if you show your membership card at time of purchase. Sew
Cherished owner would like to join as a member at large; Board members
said she would have to join a chapter.
