2011 Board Minutes
The board of The Quilting Guild of The Villages met
February 15, 2011. The
meeting was called to order by Vice President Micki MacCumbee at 3:10
pm.
The January secretary’s report was read and a
motion made by Donna Kudner and seconded by Betty Heninger to accept the
minutes with a minor correction regarding a member’s name.
The treasurer’s report as well as the program
budget through March 2011 was distributed by Treasurer Beth Bender. There are 601 paid members.
A motion was made by Lucy Verbois and seconded by Judy Porter to
accept the report.
A new Budget will be voted on in March and Beth
requested officers email her with discussion points.
The Budget Committee is comprised of chapter treasurers, the
guild president, vice president and treasurer.
President Flint will appoint two guild members to
conduct the required audit of the 2010
books.
To comply with an IRS requirement, Treasurer Bender
also needs each chapter president to provide her with the average number
of attendees for chapter meetings
during 2010.
The vice president’s report was given by Micki
MacCumbee. Details of
upcoming classes were distributed.
May 19th Dale Angione will teach Twisted
Bargello.
May 18th and 25th Doris
Woodward and Micki MacCumbee will teach Crazy Quilting…No Points to
Match, No Rules.
Both Classes will be at the new library meeting
room at the Sumter Country Services Complex on 466A.
Upcoming Guild Meeting Programs are:
March – Garage Sale (chapter presidents should
give their program chairs the number of tables needed and any
concerns/suggestions)
April – David Taylor lecture
May – Lisa-Marie Sanders, Quilting with Aliens
June – Joy Dudis home decorating talk and antique
quilts
The program committee members feel strongly that
programs should be offered year-round.
Prior board minutes were reviewed and it appears that meetings
were suspended in July and August for 2010 but there was no mention of
future years. A decision will need to be made regarding year ‘round
meetings.
The results of the recent survey of members shows a
monthly guild program is favored but members are split 50/50 on
afternoon vs evening meetings. Further
discussion is needed.
Micki would like to continue the program committee
newsletter as it was favorably accepted.
There was lengthy discussion regarding the cost of
classes and what to do with any excess funds.
Teachers who are guild members are now paid $100 per class and
often there are more than 10 participants resulting in an excess.
To comply with IRS regulations, students now will be asked to pay
the guild instructor directly for the class and sign-up will be at
monthly guild meetings as well as directly with the instructor. The program committee will continue to arrange and publicize
all classes. The instructor will keep all fees from the participants. If
the instructor receives a fee from someone over and above her class
limit, she will return the check to the individual noting the class has
been filled. This does not
apply to national teachers but for classes conducted by guild members
only. Registration for classes by national teachers should still go
through the program reps.
The officers were made aware of three outside
events.
Jim Shore, internationally renowned folk artist
will be at Ellen’s Hallmark at Citrus Park Town Center in Tampa on
March 5th from 1 – 4 pm.
Creative Quilters of Citrus County is celebrating
25 years in existence with a quilt show on March 11th and
12th at Crystal River Armory, Crystal River, FL.
Pat Knoechel will be at the First Baptist Church in
Crystal River, FL on April 11th with her Quilt in a Day
Program. Cost is
$12.00. Contact Mary Redrick (jredrick@tampabay.rr.com) at 746 2722 by
April 4th if you are interested.
Jackie Whitehead still has 2 quilts from the
boutique that are unclaimed. One
is a burgundy pieced quilt with green and pink and one is a sailboat
pieced quilt. All
presidents should ask their membership to help identify the owners.
Ann Moroz and Carol Schroeder, co-chairs for the
2013 quilt show announced that Savannah Center is available for January
25 and 26, 2013 for the show. Please
send any suggestions or comments regarding the next quilt show to Ann.

Ann noted that space is a concern for the show and
she suggested looking at the feasibility of an even-year event which
could be an expo/marketplace for stitching but not a quilt show. Many
members voiced their thoughts that the boutique should stay with the
quilt show.
Jackie Whitehead recommended a committee be
established to provide written guidelines to the co-chairs defining
their authority and defining when they need board approval.
The May 2010 standing rules provide some guidance but more
expanded guidelines will help the new co-chairs and avoid any
misunderstanding or overstepping their authority.
Don Crosby, the guild web site developer has asked
that chapter web masters send any changes only once each month and be
specific on what chapter the changes are from.
He requested any changes to the Guild page be submitted to him
through the secretary of the guild, Joyce McKee (joycemckee@hotmail.com)
Ann Moroz will be responsible for submitting any Quilt Show
information.
This will ensure that when Don gets a note, he
knows it is an approved request.
A letter from Carol Knoll, a guild member, was read
outlining her concern that people were turned away from the show and not
allowed to enter 20 minutes before the end time of the show on Friday.
The new show co-chairs were made aware of this concern and will
ensure this does not happen in the future.
Joy Lynch made a motion to adjourn seconded by Ann
Moroz. The meeting was
adjourned at 4:40 pm.

The board of The Quilting Guild of The Villages met
January 18, 2011. The
meeting was called to order by President Jeanette Flint at 3 pm.
The secretary’s
report was read and a motion was made by Nancy Myers and seconded by
Regina Wolf to accept the minutes with the following correction.
Scholarships of $40 are still available until the
end of the fiscal year but there is no grant money.
President Flint requested chapter presidents bring
three copies of current membership lists to the next board meeting.
The Treasurer’s report and budget was distributed
and a summary read by Treasurer Beth Bender.
There are 374 paid members. Because we may have a print credit,
Beth suggested printing a booklet of all guild members to be given to
each member for use by members only.
Beth will let us know the amount of the credit when it is
available. Virginia Wolfe
moved to accept the Treasurer’s Report and Bev Jahn seconded the
motion.
There was no Vice President’s Report
Kathy Howe gave the Quilt Show Report.
Judging is complete and the judges were impressed with the
quality of the quilts. Carole
Schroeder was introduced as one of the 2013 quilt show co-chairs.
Kathy again reminded everyone of the drop-off and pick up dates
for the quilts. There was
discussion of quilt show working responsibilities and Kathy will provide
assignments to anyone who still wants to work but may not have signed up
because they needed a sitting position or some other accommodation.
Old Business
President Flint reminded everyone that even though
the monthly meeting hosting responsibilities have been assigned,
chapters can trade off if necessary. She offered to allow chapters to
randomly pick the assignments for 2011 if there chapters wanted to re-do
the assignments.

There was continued discussion on hiring national
teachers with comments on innovation, equality to all chapters for
participation, expense, room availability, class content and day of the
week for the class. Any
decision was tabled until the results of the survey conducted by the
program committee. It was
noted that no one should be considered ‘registered’ for a class
until payment is made.
Mary Shara from Piecemakers announced a bus trip on
Tuesday Feb 15th to the Rockledge quilt shop. Cost is $16 and checks should be payable to Piecemakers.
The bus will depart at 8:30 am from the Spanish Springs bowling
alley. There are twenty
seats remaining and interested quilters should contact Wanda Marsh at
753 9174.
Anyone interested in a bus trip to Mary Jo’s in
either March or October should contact Laura Tomich at 352 259 1200.
President Flint had brochures of two trips to the
Sewing Expo on March 18th.

Each chapter web person should send officer updates

John Rohan has requested quilted items for a
charity being held in March benefiting the children’s society. Anyone willing to donate an item should have their item to
Jeanette Flint by February 20th.
Molly Waddell’s clown class was cancelled due to
lack of participation and she requested permission to sell her patterns
at the March guild meting. It
was decided that since she will be in The Villages at that time, she can
join a chapter and participate in the ‘garage sale’ to be held in
March. This will avoid us setting a precedent of allowing this type
of sale.
The guild as well as many chapters received a
letter from Operation Home Bound requesting a donation.
The chapters should make their individual decisions on this
request.
Seabreeze, a new chapter, asked for help and
guidelines for using/raising funds.
Other chapter officers gave suggestions.
Doris Woodward from Mulberry will co-teach a class
in May but she lost her Krazy Quilt pattern and movable joint bear
pattern in a fire. Please
call her at 753-7119 if you have these directions from prior classes.
