Quilting Guild of The Villages August 2012 Executive Board Meeting
The Executive Board of The Quilting Guild of The Villages met August 21, 2012 at Saddlebrook Recreation Center. The meeting was called to order by President Alice Nicholas at 3:10 p.m.
After roll call, the Secretary's Report was read. It was noted that the discussion relative to combining 30 minute classes by several in-house teachers into one session is an option only. Joyce Doig moved we accept the minutes as amended with this clarification, seconded by Sheddy Reese and carried..
Jeanette Flint asked what amount should be paid to a guild member who is invited to another chapter to teach. The payment is currently up to the chapter to negotiate and after discussion, it was decided to leave this decision with the chapters. It was noted that the chapters should take into consideration the prep time by the instructor.
Lucie Verbois gave the Treasurer's Report.
Micki MacCumbee gave an update on programs. The program committee has formed a sub-committee to compile an in house instructor list. Jill Smithson of Sterling Stitchers is chair of this group.
There are still openings in the Fiber Art Chix class and Margie Engel's October class also has openings. You can see Margie's work online by checking the link on QGOTV.org. Eric Drexler from Sulky Threads will conduct a six hour Sit and Sew session in February 2013. The cost will be $60. This includes the kit.
Marilyn Paluszak reported on the website. It has been overhauled and now has greater speed for the webmaster. There are approximately 200 pages on the site. We need to think about how much history we want retained. Marilyn is willing to attend chapter meetings to educate our newer members on the website content.
Joy Lynch, Membership Chair, reported we have 737 Guild members.
Carole Schroeder reported on Showcase 2013. Carole urged members to contact her if you have any questions on the volunteer duties at the show. Silent Auction items are due December 1st.. The Guild website has updated forms for the show. Carole urged members to make an effort to sell tickets for the charity quilt or donate to the charity. Our goal is $7,500.
Carole reported that the storage facility is stuffed to the door and we need more room. We currently have a 10x10 storage unit at an annual cost of $1,398.72 and Carole proposed we rent a 10x15 unit at a cost of approximately $1,877 per year. Jeanette Flint moved we authorize rental of the larger 10x15 unit seconded by Joyce Doig and passed. The larger unit will be reserved and items purged and moved after the quilt show.
Carole also reported the rental facility is requiring contents insurance. Ann Moroz has more details on the cost of the insurance, what's covered and deductibles and Ann will report at a future meeting.
Joy Lynch reported on the storage of the guild history scrapbooks. She visited the Mark Twain library and does not feel they have adequate space for the books. Joy recommended we store the books in the storage unit and display them once a year at a Guild meeting. From this point on, the Chapters should maintain their own scrapbooks.
New Business
A nominating committee must be formed to find candidates for the positions of Secretary and Vice President/Program Chair for 2013/2014. The by-laws state two members from each chapter serve on the committee. Chapter Presidents should provide those names to Alice Nicholas. Lucy Verbois will be the Board representative who will chair the nominating committee. The proposed slate of officers will be presented at the October guild meeting and election takes place in November.
Again, discussion was raised about the extensive duties of the combined position of Vice President/ Program Chair. This subject was tabled and can be discussed again depending on who is elected to the position and how that officer feels about the division of duties.
Alice Nicholas noted that the program for the Showcase of Quilts will indicate the show is dedicated to the memory of the Guild's first President, Macky Nyland.
Alice reported a member suggested the Guild purchase a bench in Macky's memory. It was felt this would set a precedent for the future and it was agreed not to do this.
