Quilting Guild of The Villages November Executive Board Meeting
The Executive Board of The Quilting Guild of The Villages met November 20th at Saddlebrook Recreation Center. The meeting was called to order by President Alice Nicholas at 3:00 p.m.
After roll call, President Nicholas welcomed Heather Farnell, our incoming secretary.
The Secretary's Report was accepted as published.
Lucie Verbois gave the Treasurer's Report. She reminded chapters to give her the 2013 dues at mid-December for January deposit. The class cancellation policy was discussed. There was a motion by Dale Angione that no refund be made if a participant cancels within 30 days of the class. After discussion, this was tabled and the program committee was asked to bring forward for Board approval a recommendation regarding refund of class fees.
Chapter presidents were reminded to provide Lucie with a list of charity work that was completed by their Chapters in 2012. This is due the first week of January and preferably by email. The list should include the number and type of donation (quilt, pillowcase, etc.) as well as the name of the receiving organization. Monetary donations should also be listed.
Program Committee Chair, Micki MacCumbee was not present but she submitted a detailed written report. Jill Smithson reported that she has compiled an in-house teacher list which she will email to board members. She would like to see this list expanded with more teachers. In 2013, Classes will be taught on-site in The Villages rather than at the county library facility. Rooms have been reserved for the first and third Wednesdays of the month. The first week is usually filled with a visiting artist but individual Chapters can use the rooms for special events and projects as well as in-house classes. In-house teachers can also teach at Chapter meetings by agreement with the Chapter.
Joy Lynch noted that she has previously requested communication from the Program Committee go to Members at Large as well as the Chapter Presidents. This is still not happening. It was also mentioned changes of class dates/times/locations are not clearly communicated. Jill will pass these concerns to Micki MacCumbee, Program Chair, to be resolved.
Chapter Presidents should notify Alice Nicholas of any changes in officers or key positions and she will be sure the Guild officers and appropriate Committee Chairs are notified.
Our Webmaster, Marilyn Paluszak, reported she will be sending each chapter their home page to review and update. She noted there are many links within the website and she is trying to keep the website user friendly so people will continue to use it.
Joy Lynch, Membership Chair, reported membership is holding at 753 members. By December 15th, Chapters are to provide an Excel spreadsheet file to Joy listing only members who have paid 2013 dues. The Excel file should have chapter name, member's last name, member's first name, year joined the guild, home street address, home phone number and email address (in that order). Membership cards for 2013 will be distributed at the January Guild meeting.
Ann Moroz reported MarketPlace in on track for 2014 with 40 vendors.
Carole Schroeder reported the Showcase needs 15 more PVC frames to display the quilts at a cost of approximately $900. Joyce Doig moved we purchase the PVC frames as requested, seconded by Judy Short and carried.
Challenge Quilts must be delivered to Laurel Manor, January 4th at 6 p.m. for judging. You can have your chapter rep deliver the Challenge Quilts to Carol Schroeder prior to January 4th or bring them to Laurel Manor on that date and time. The $5.00 fee for those that entered a Challenge Quilt will be returned after the Showcase.
If you still have someone who wants to volunteer at the Showcase but is not yet assigned a position, see your Chapter Rep. They can coordinate volunteer duties with other Chapter Reps.
President Nicholas reported the request for a new afternoon chapter at Bradenton Recreation Center is being processed.
The agenda for the December Guild meeting will include the following:
- Installation of officers
- Recognition of past presidents
- Member ten year recognition
Alice will send Chapter Presidents the names of those being recognized so they can be invited by their Chapter to attend.
Volunteers will be needed at the Guild information table at the Showcase. Alice would like to see the Chapter Presidents assist her at this table.
To date, the amount received from the sale of charity quilt tickets is $4,173.00.
Alice encouraged people to be part of the Christmas Parade on December 8th at 12 noon. She reminded everyone that our Garage Sale will be January 8th at Paradise Recreation Center. Please confirm the number of tables you will need with your Program Rep.
