Quilting Guild of The Villages January 21, 2014 Executive Board Meeting
The Executive Board of the Quilting Guild of The Villages met January 21st at Saddlebrook Recreation Center. The meeting was called to order at 3:08 p.m. by President Beth Bender.
President Bender welcomed all to the meeting. Marilyn Nelson and Michelle LeDuc from the newest chapter, Mamie's Quilters, were introduced. Roll call was held.
The Secretary's report was accepted as published. Teresa Hatfield gave the Treasurer's report.
MOTION: Create a yearly budget for The Quilting Guild of the Villages to run from April 1 of the present year to March 31 of the next succeeding year. Motion was approved.
MOTION: The term for annual Membership shall run from April 1 of the present year to March 31 of the next succeeding year; effective with the extension of the 2014 membership year (to end on March 31, 2015). Motion was approved.
Webmaster Marilyn Paluszak handed out reports on QGOTV.org and the Long-Range Planning Committee. Both will be posted on www.QGOTV.org.
Vice President Ruth Mazurski gave the Vice President and Program Report. Ruth emphasized the importance of checking the website and with chapter program members to keep abreast of the many classes and workshops being offered. She is discouraged by the low numbers of members attending the Visiting Artists workshops and welcomes ideas to boost attendance.
Ann Moroz reported on MarketPlace 2014 to be held at the Wildwood Community Center on January 24th and 25th from 9:00 A.M. to 4:00 P.M. In addition to the 27 quilt vendors, there will also be 3 food vendors. Volunteers are to arrive 10 minutes early for their shifts.
Sharon Musch reported on Showcase 2015. The Showcase is to be held January 23 and 24, 2015, to showcase quilts made by members of QGOTV. There will also be quilting related demos, a boutique, a silent auction, and a Charity quilt drawing. Judging of the quilts will be held in mid-January 2015 and each chapter is invited to send a member to participate. Sharon announced that Judy Porter and her team will be the shadows and will form the basis for Showcase 2017. Categories and entry forms may be found on www.QGOTV.org. Hard copies will be available at the February Guild meeting. Members may also pick up challenge quilt entries at the February meeting for $5. Each member is allowed to enter a quilt in 2 different categories plus the challenge category.
A committee was formed to review the By-Laws and Standing Rules. The members are Kathy Howe, Linda Thomas, Beth Bender, and Suzanne Kuebler.
Joy Lynch reported on Membership. There are presently 872 members.
MOTION: Adopt the amended Membership Form as presented at today's meeting. Motion was approved.
Joy asked each chapter to send her their list of chapter activities so that she can customize each chapter's form. Marilyn reported that she can direct messages from the QGOTV website to each Executive Board member if they wish.
MOTION: Use the money collected by Basket Mania at Marketplace 2014 to expand support for ALS (Amyotrophic Lateral Sclerosis). Motion was approved.
The use of basting sprays at Guild Chapter meetings and workshops was discussed.
MOTION: Ban the use of aerosol/basting sprays during Guild Chapter meetings, workshops, and classes. Motion was approved.
Greeting prospective members was discussed. It is recommended that all prospective members be invited into the chapter meeting to look around and get a feel for how the chapter functions. If the chapter happens to be full, the chapter will supply the prospective member with a list of chapters that are accepting members. Chapters are to let Joy Lynch of Membership and Marilyn Paluszak, the Webmaster, know if their chapters are full so that they can maintain an up-to-date list of chapters who are accepting members.
Teresa Hatfield led the discussion on acquiring a Quick Books computer program and laptop to maintain the Guild Treasurer's bank account.
MOTION: The QGOTV Executive Board authorizes Teresa Hatfield to purchase a Quick Books, a computer software program, and laptop with funds not to exceed $1200. Motion was approved.
Beth reminded the members of the ConKerr Cancer Pillowcase Challenge. Pillowcases are to be handed in at the March Guild meeting. The winning chapter will be awarded a roll of batting plus cake supplied by TooJays Gourmet Deli. The "Daily Sun" will be invited to witness the donations on March 4th.
(An aside note: Michelle LeDuc mlleduc@yahoo.com of TooJays is offering a 10% discount for any Guild function for 2014. Michelle is the Member-at-Large for the new Mamie's Quilters Chapter at Eisenhower.)
Chris Phillips (Patchwork Garden Member-at-Large) displayed a few of the Cornerstone Hospice Quilts. Cornerstone is in need of angel, patriotic, or regular lap-size quilts for their patients. Chapter presidents are to ask their chapters if they are willing to provide a quilt and report to Chris at the Executive Board meeting in February.

Marilyn reminded members that when chapters send their list of donations and charity quilts to the Treasurer to copy her at Webmaster@QGOTV.org so that she can develop a Charity Webpage.
