Quilting Guild of The Villages April 15, 2014 Executive Board Meeting

The Executive Board of the Quilting Guild of The Villages met April 15th at Saddlebrook Recreation Center.  The meeting was called to order at 3:00 pm by President Beth Bender.

President Bender welcomed all to the meeting. Roll call was held.

The Secretary's report was accepted as published. The Treasurer's report was emailed to all participants.

Vice President Ruth Mazurski gave the Program Report. There were over 100 participants at Pat Knoechel's lecture and trunk show held today at Laurel Manor Recreation Center. $115 was raised for Operation Shoebox.  A representative from Operation Shoebox will be at the May Guild Meeting to accept a check.  Carol Henry will be the guest speaker for June. She will hold two workshops: Drunkard's Path and Curves and Swerves. The price for each workshop is $29 which includes a template. Jenny Doan has been booked for February 2015. She will hold three classes. Participants from her cancelled February 2014 workshops will have first right of refusal. Khaki Quilters and Mamie's Quilters will each be allowed to send two participants.

Webmaster Marilyn Paluszak reported that the QGOTV website is up to date on programs but is behind on Chapter news. Marilyn acted as the receiving point for two pallets of industrial sized spools of thread. She sent out an email to all chapters and is in the process of distributing the thread. Anything left by the end of the week will go to Operation Shoebox.

Joy Lynch reported on Long Range Planning. One of the Long Range Planning Committee Goals for 2014 is to draft and distribute a Membership Survey. She distributed handouts on the features of "Survey Monkey" which will allow both the Guild and individual chapters to gather information.
    MOTION: The QGOTV Executive Board authorizes Joy Lunch to purchase "Survey Monkey" for $204.  Motion was approved.

Membership is steady at 929 members.

Ruth Mazurski reported on the Facilities Management Subcommittee. There are presently six members but anyone who is interested in participating on this committee may contact Ruth. Meetings are held the first Friday of the month at the Hibiscus Recreation Center from 9:30 to 11:30 a.m. There is a shortage of rooms and electrical outlets available for the Guild and this committee is working on possible solutions ranging from having a dedicated facility or a possible Arts and Craft room in the new Santiago facility.  Several committee members will be attending a SCORE meeting on Thursday of this week on how to run a small business. They are also brainstorming ideas on raising funds.

Sharon Musch reported on Showcase 2015. All chapters are participating on the Showcase. More black fabric has been purchased for the quilts' backdrop.  Bradenton, Khaki Quilters and Mamie's Quilters are working on their banners. Dale Angione negotiated a cheaper room rate for Showcase Vendors at the Marriott Suites in Spanish Springs.
There was more discussion on what to do with the proceeds from the Silent Auction. 
    MOTION: Present a motion to the membership that proceeds from the Silent Auction and Charity Quilt will be split between the Wildwood Soup Kitchen and the Wildwood Infant and Toddler Pantry. Motion was defeated.
This issue has been tabled to the next Executive Board meeting.

The issue of a Historian was tabled to the next Executive Board meeting.

The Budget meeting will be held on May 7 at the Laurel Manor Recreation Center from 2:00 to 4:00 p.m. All chapters are to send a representative.

A publicity person to coordinate all publicity will be approached by Joy Lynch. 

Ruth Mazurski spoke of the need to have two Vice Presidents to share programming duties.  One would be in in charge of the in-house programming and the other in charge of visiting artists. In order to provide continuity there would be alternate elections each year.
    MOTION: Amend the By-laws and Standing Rules to add a fifth elected officer position and define the roles of each: First Vice President responsible for Visiting Artists Workshops and scheduling Guild Meeting lecturers/trunk shows; a Second Vice President responsible for scheduling In-House Quilters Classes. Motion was passed.
Ruth further suggested staggering elections. The Bylaws and Standing Rules Committee will create appropriate language for member review and vote.

Beth Bender received a thank you note from Khaki Quilters for $250 start-up money and a thank you letter from Kathy Miller and John Bunge, the Singing Quilters.

Jacksonville is accepting quilts for their fall show. Registration forms are available on the website www.quiltfestjax.com.

Joyce McKee will serve as temporary Secretary while Heather Farnell is away from The Villages.

The meeting was adjourned at 4:26 pm.
