Quilting Guild of The Villages November 19, 2013 Executive Board Meeting
The Executive Board of the Quilting Guild of The Villages met November 19th at Saddlebrook Recreation Center. The meeting was called to order at 3:05 pm by President Alice Nicholas.
President Nicholas welcomed the incoming Guild President, Beth Bender, and Guild Treasurer, Teresa Hatfield. Roll call was held. The Secretary's report was accepted as published. There was no Treasurer's Report as the Treasurer is ill.
Ruth Mazurski gave the Program Report. Jenny Doan's classes were cancelled as there was an illness in her family. Refunds will be given; Jenny hopes to reschedule in the New Year.
December's Meeting is the Christmas Party and 20 Year Celebration with speaker Teddy Pruitt. Doors will open at 6:00 pm and the program will start at 6:30 pm; each chapter has been assigned a responsibility for the meeting.
Granny Suzannie will be January's guest speaker, Joan Ford will be February's guest speaker, and Molly Waddell will be the guest speaker for March.
The Sterling Heights Torch Lake room has been booked for the Guild. It will be available every Sunday from noon until 4:20 pm. Please contact Esther Meinhardt at bunnyciani@gmail.com or 727-391-7979 to make use of this wonderful sewing and meeting room.
Webmaster Marilyn Paluszak introduced Your Second Home Page on the website. This page makes it easier to navigate thru the website plus lists the current items of interest and the latest standing committee reports.
On behalf of the Long-Range Planning Committee, Marilyn Paluszak distributed an email to all Executive Board members prior to today's meeting, outlining one of the recommendations from the Executive Board Focus Group: the creation of an advisory board that would provide a different sort of entity to assist the Executive Board. She also distributed a sheet outlining the basic level of prior experience needed in candidates, and a brief description of expectations.
MOTION: Create a Publicity Advisory Board to consist of 5-7 volunteer members who have prior experience in
public relations, marketing and/or sales to draft written guidelines for use by the Executive Board and its
Standing Committee chairs.

The Publicity Advisory Board will establish its own agenda and meeting schedule to create the written guidelines; members will be available for occasional questions by the Executive Board and Standing Committee chairs; and meet at least annually to review and revise the guidelines, as needed. Chapter Presidents were asked to send the name and email addresses of qualified members who are willing to volunteer to President Nicholas before January 2014.
Marilyn also talked about creating an LRP Communication Subcommittee to develop and determine ways to implement a membership survey. She will be sending out details and seeking volunteers.
Joy Lynch presented a Membership Application form which was proposed by the Membership Committee following the Executive Board Focus Group meeting in October. This form will be presented in each chapter and will be voted on at the December Executive Board Meeting.
Under MarketPlace 2014, Ann Moroz reported that she will be asking for volunteers in the next few weeks. Chapters are to have their baskets in to Lake Miona Chapter by December 10th.
Under Showcase 2015, Sharon Musch reported on the results of the member vote on which charity should receive the proceeds from the Charity Quilt. Two of the three nominated organizations were very close contenders.
MOTION: Split the proceeds from the Charity Quilt between the Wildwood Soup Kitchen and the Infant and Toddler Pantry.

The committee to review By-Laws and Standing Rules will meet at 5:00 pm on December 3rd in the Washington/Jefferson room prior to the Guild meeting. President Nicolas reported that she has put in requests to form new chapters with the Recreation Department
The Open Forum was postponed to the December Board meeting
Announcements:
President Nicholas has sent a challenge to all chapters. ConKerr Cancer was founded by a mom who made bright cheery pillowcases for her son, Ryan, who battled cancer. The challenge is to see how many pillowcases each chapter can make in the month of February 2014. Directions are at http://www.conkerrcancer.org/volunteer/sew-pillowcases. Cases will be due at the March 4th Guild Meeting. Laundry is provided so no need to worry about washing the pillowcases.
Cornerstone Hospice would like some more Angel Quilts: hopefully with a patriotic theme for their Veterans. Chris Phillips has volunteered to chair a committee that will assess, repair and /or make new quilts. Volunteers are to contact her at maiercab@yahoo.com or 920-915-6980.
President Nicolas will submit the entry form to participate in the Christmas Parade to be held December 14th at the Villages Polo Field.
